About the Electromagnetics Group
The EM group is expanding rapidly with currently about 60 members including permanent staff, PhDs, Postdocs and EngD trainees. We provide education for various Bachelor and Master programs (Electrical Engineering, Automotive Technology) and conducts research into electromagnetic modeling applications, such as antennas and medical devices. Job Description

An exciting opportunity for managerial support in a pleasant research group with short communication lines and a flat organizational structure. As a Management Assistant, you will play a central role in supporting the smooth functioning of the group. You will act as the primary point of contact for the group and take on various responsibilities to ensure effective support and communication.

These include:

  • Serving as the primary point of contact for the group for students and external contacts.
  • Providing secretarial support to the group chair and staff members. This includes scheduling meetings, reserving rooms, ensuring administrative information is up to date and available for staff members.
  • Preparation and follow-up of MT staff meetings and EM-away day (Heidag)
  • Tracking of progress of MSc/PhD students. Organizing yearly evaluation of PhD students.
  • Calendar management for the group chair.
  • Assist in planning and organizing of workshops, seminars, conferences and other events.
  • Initiating and organizing social events for the group.
  • Welcoming new members in the group via an internal onboarding process.
  • Ensuring the correct internal processes and protocols are adhered to.

Job Requirements

  • Secretarial or administrative education / experience with at least HBO level of thinking and working
  • People-oriented personality with very good social and communication skills with a positive mindset.
  • Flexible, service-oriented and proactive attitude.
  • Experience working with MS Office (agenda management via Outlook, Word, PowerPoint, Excel and Sharepoint).
  • Good command of the Dutch and English language, spoken and written.
  • Organizational skills and being able to set the right priorities.
  • Being able to quickly master the organizational structure and procedures.

Conditions of Employment

  • A monthly salary of minimum €3,029 to maximum €3,985 for full-time employment, depending on your knowledge and experience (scale 6 or 7 collective labour agreement for Dutch Universities).
